Downtown Roanoke Event Services

Downtown Roanoke, Inc., as the permitting agent of the City of Roanoke and as the contracted management of the Downtown District, is uniquely positioned to help you with planning, permits and licenses you will need for your public event in downtown Roanoke. DRI has an expansive knowledge of the Downtown District, and events and marketing experience to make your event a success in Downtown!

 

Assemblies of more than FIVE people require a City of Roanoke Assembly Permit. DRI is here to help you with your assembly permit needs. Contact Scott Arbogast with Downtown Roanoke, Inc. (DRI) at 540.342.2028, ext 14 or ScottA@downtownroanoke.org. DRI will note your date and desired location, assess your needs for your event, and inform you of any fees that will be due to The City of Roanoke.

  • Small Events with less than 100 people: most information can be handled over the phone. DEADLINE: YOU MUST CONTACT Downtown Roanoke, Inc. AT LEAST 30 DAYS BEFORE your small event.
  • Large Events and Festivals with over 100 people (or an event that requires closing streets): we recommend scheduling a meeting with DRI to discuss all needed applications and instructions. DEADLINE: YOU MUST CONTACT Downtown Roanoke, Inc. AT LEAST 60 DAYS before your large event or festival.
  • Events in Elmwood Park: please contact DRI first to discuss park availability and next steps. DEADLINE: YOU MUST CONTACT Downtown Roanoke, Inc. AT LEAST 100 DAYS before your proposed Elmwood Park event.


PLEASE NOTE: VERY IMPORTANT DEADLINES!

So that we can serve and help you as thoroughly as possible, Downtown Roanoke, Inc. strictly adheres to the permitting timeline and deadline requirements established by the City of Roanoke – remember Downtown Roanoke, Inc. does NOT approve Special Event Assembly Permits, the City of Roanoke staff does, therefore to allow Downtown Roanoke, Inc. staff adequate time to get your Assembly Permit Application through the approval process we ask you to adhere to the deadlines! DRI can not assure or guarantee your event’s Assembly Permit will be reviewed/approved by the City of Roanoke if the deadlines are not met.

 

City of Roanoke Assembly Permit Applications for Downtown Roanoke Events

In order to hold an event in Downtown Roanoke, you must complete the following application(s) and all additional materials. Please download the appropriate packet or files, read, and complete in order to have your event processed.

All Other Events

For all other Downtown events, please download the City of Roanoke Assembly Permit for Downtown Events - General and any of the following that apply to your event. 

 

Event Parking

Temporary Parking Permits for approved Assembly Permits are available by request from PARK Roanoke. Restrictions apply, click here for details and to apply for temporary parking.

HOW MUCH WILL IT COST?

Costs will vary depending on the location and event. Below are a few examples of fees you can expect. Please refer to applications above for required fees. *Fees subject to change. 

  • Use of a City of Roanoke Park or Plaza:
    • Refundable Deposit: $100 (non-alcohol related events) or $200 (alcohol related events)
  • Use of a City of Roanoke Park or Plaza for more than 8 hours: $150
  • Use of City of Roanoke Lot or Garage: $150 usage fee, $500 refundable bond
  • Use of City of Roanoke Parks and Recreation Mobile Stage: $900 (non-profit) or $1,200 (for-profit)
  • City of Roanoke Alcohol Application Fee: $50
  • Virginia Department of ABC Application Fee: $55
  • City of Roanoke Temporary Food Vendor License: $40 per vendor (payable by vendor OR organization)
  • Don’t forget:
    • Security
    • Police
    • On-site electrician
    • Portable toilets

    • Event and liquor liability insurance
    • Required local and state taxes (admission, prepared food and beverages, and sales)
    • Portable barricades
